Area Systems Leaders Meeting
KEK, 19-20 January, 2006


Dear Area System Leaders and CCB and DCB Chairs:

We have passed the first milestone of the GDE work and, for the next milestone RDR, we formed the new organization, namely the RDR matrix (Area System, Technical System, Global System) and the 3 boards (CCB:Change Control, RDB:R&D, DCB:Design-Cost).

By the next workshop at Bangalore we need to finalize the remaining machine features that have significant impact on the total cost so that we can start cost estimation right after Bangalore. This will require input from all areas of the machine design.

As the first step to Bangalore, Go3 is planning to have a meeting at KEK on Jan.19-20, 2006 with the participation of the Area System Leaders (2 to 4 people for each area system, appointed at Frascati) and two board chairs (CCB and DCB).

The main issue of the meeting will be to decide:
(1) The configuration of the main linac unit,
(2) The machine layout,
(3) Discuss the flexibility and location of the damping ring.

Although we have a rough picture of the main linac unit such as the number of cavities, we need still greater detail before starting a serious cost estimation, including the RF distribution system, cavity spacing, quadrupole distribution, BPM, etc. It is important to start costing this system early as the main linac is a large cost driver.

For the machine layout we need to discuss about the DR location and the transport line, diagnostics section, linac orientation and so on. Also there are questions regarding how we are going to handle the site dependant differences. Again it is important to start work on this system early as it is a large cost driver.

The last issue is related to the baseline parameter set (so-called Low Q) and the operating flexibility of the damping ring. The present BCD adopts three 6km rings but the compatibility with the Low Q parameter set is uncertain and there are questions of how the bunch timing can be adjusted. Since the choice of DR has a very strong impact on the entire machine, we have to understand this problem much earlier than the Bangalore Workshop.

As presented by Nobu at Frascati, the CCB is going to distribute `Requests for Improvements' to Area people by the end of this year. The KEK meeting will also be a place to discuss on these improvements.

Detailed schedule has not yet been decided but the meeting will start 19th morning and end by early afternoon on 20th. The logistic information will be announced soon.
