1) CERN-FNAL development of indico: Jean Yves feels that joint development is possible and desireable. There will be further contact after Barry Barish officially responds to the FNAL offer. A list of ~200 suggestions for improvements is maintained by the developers. J-Y promised to send around a url so we can see what's on it and to give Maura & me priveleges to augment it. Developments must be coordinated. There is a good existing collaboration between CERN and Laussane and every reason to expect a mutually beneficial relationship between FNAL and CERN. A visit of the FNAL responsible party to CERN will be arranged after the dust settles.
2) Maura & Jean Yves report on CDS (now called Invenio) progress for ILC this week. Please see Maura's slides posted on indico. Notably:
- M & JY have augmented the types of “real collections” to include notes, internal notes and others
- The “Conferences & Meetings” “real collection” will be filled in Invenio/CDS by a daemon (currently runnig 1x/day) from INDICO. This has been implemented and one can collect and search on all (currently 710) “Events” (meetings, workshops, seminars) and on all (currently 2740) “talks & contributions” submitted at those meetings. The display, default order and search fields for these collections needs to be tuned. Your advice on this is requested! TRY IT!!!!! After a debugging/development period we would like to announce existence of this SEARCH tool to the greater ILC community.
- A slot for “engineering and drawings” has been reserved for similar harvesting from DESY/ILC Teamcenter. Lars, please contact Jean Yves & Maura to understand the best way to proceed.
- M & JY have begun to implement the “Virtual Collections”. Now the AREA SYSTEMS have been defined. In order to see how it works, Maura “hard wired” the talks stored in indico for BDS

As, when Andrei posts talks to the system he typically submits them as “material”, rather than as contributions by a given author, the connection to the presenter is hidden. However, this gives you an idea of what system can do.
- M & JY want input on other “Virtual collections” and on a NUMBERING SCHEME for these documents. They will procuce a description of the CERN numbering scheme. We all should think about what the ILC and its detectors need.

In order to answer and take into account as much as possible the recommendations of the ILC EDMS selection committee , the DG decided to launch a two months study under the responsibility of a very competent expert on managemment tools, of a close integration of all CERN management tools in a coherent environment and coherent infrastructure with a common web interface to the users and possibly an horizontal foundation. This integration was foreseen to be done after the completion of the LHC, but the DG decided to advance the study and possibly launch the project in order to answer the present ILC needs and request.
The study will include:
A review of the users needs
The integration of INDICO, CDS, EDMS, PPT (standing for Project Planning Tool for WBS structure and project M&P resources )
An evaluation of a possible evolution of the tools and especially the adaptation of EDMS to 3D documentation with CATIA and/or the use of UGS TeamCenter
A study of the legal implications of the use of the tools by users distributed in various laboratories
The estimation of the M&P resources for both the development and the maintenance aspects.
If the resources are affordable, a project will then be launched and the ILC will be offered to use this integrated set of tools as a coherent ensemble with the CERN support.
In any case, we strongly recommend that the support of the management tools should not be distributed but under the responsibility of a single laboratory.

Nobu has begun a dialog with Jean-Yves LeMuer to understand how best to encode the BCD document within CERN CDS.
Lars has received monies from DESY for ILC specific TeamCentre support at DESY. A devoted server will be purchased and a visit of UGS developers for software installation is scheduled. He & Rich will be working on the demo for the May 10-12 cryo meeting at DESY.

J.-Y. described plan to HARVEST InDiCo info information to CDS, tagged as “Conferences & Meetings”. This will be a cleaner interface than that currently employed by CERN InDiCo, where InDiCo SEARCh has been implemented on InDiCo, leaving the two databases separate. Depending on resources it was thought that progress would be made on this by the end of April. It will be the first step to a “Unified Web Interface” to the DMS.

The CERN EDMS meeting’s purpose was to resolve the competition between the CERN developed Axalant-based EDMS system used for the LHC and the DESY developed TeamCenter-based system developed for the XFEL project. The DESY participants were Lars Hagge, Jochen Buerger and Jasper Damann. The CERN group was led by John Ferguson and included David Widegren, Thomas Petersson, Eric van Uytvinck, Yvon Muttoni, Thomas Baron & John Yves LeMuer. Tom Markiewicz from SLAC also attended. The discussion began with a review of the system requirements; the notable success was deciding what to leave out of the edms system. The bulk of the meetings over the 3 days consisted of demos and discussions on how to concoct a system that would span user needs over the spectrum from “light” to “heavy” (or little control of input (known as “work flow” in the jargon) to strict control of the input) which roughly correlates with the spectrum of work from “scientific” to “engineering”. Another key concept developed was the lifecycle of the project from the “gaseous phase” (when variants to the design and configuration should be encouraged and facilitated) to the “frozen” part of the project lifecycle when strict change control must be enforced).
In reasonable short order a decision to use the CERN developed InDiCo and CERN Document System as the physics based tools was agreed upon, provided that these would be somewhat unified through a web based user interface that directs the user where to store his information and which simultaneously searched both these systems and the third, more engineering-slanted engineering DMS. The really thorny discussions revolved around whether it was better to choose an edms that “tightly coupled” the CAD system and its integral “part breakdown structure” or to choose a system that purposely did not couple those systems. These correspond to the DESY and CERN systems, respectively. Complicating the choice was the fact that CERN has had 10 years to develop its system and comes with a user-tested “workflow” package, while the Teamcenter product is new. It has all the tools necessary to develop as rich a set of workflow systems as Axalant, but to date DESY has only a few rudimentary ones.
The flip side is that TeamCenter is ~15 years newer than Axalant and supports the part breakdown concept inherent to 3d cad in a fundamental and transparent manner while simultaneously allowing the storage of “flat” data (drawings, files as opposed to nested part assemblies) in a user specified logic tree (which is the way CERN has developed Axalant.) In the end, it was agreed that the ILC did have the time to wait for the Teamcenter product development to catch up with CERN (with an agreement for CERN collaboration in this process), and that, the intrinsic collaborative design enabled by the integrated edms-cad was too valuable for the near term design of the ILC to avoid choosing it as the preferred engineering tool. In a phone conference with the remaining EDMS committee members this was unanimously agreed. We now need only write up the decision and begin to implement it.
Friday 17 February was spent at DESY with the DESY EDMS team, augmented by visits to designers (Katharina Jaehnke, Norbet Welle) and cryo-engineers, to see how the team center product is used in the DESY XFEL work environment and to demo how info would be shared in a world-wide collaborative approach. Lars and Tom met with DESY Research Division director Rolf Heuer to inform him of the EDMS committee decisions, a prerequisite to getting DESY manpower support for the ILC and TeamCenter.

Lars felt (I think) that specialized web interfaces between the 2 systems could provide functionality, once it was decided what exactly we needed to cross reference.

When we get the CERN CDS demo, it would be good to have the experts try to address this. DESY has been grappling with the issue of an EDMS for 6 years; 1999-2002 were spent examing the concept and scope required; 2002-2005 were spent implementing and configuring the Team Center product. A total of ~10FTE person-years have been invested.
